Creating an Invoice for PWS: INSERT VIDEO LINK HERE
When a customer wants to proceed with the estimate.
Gather the following information from the customer:
-Contact first and last name
-Phone number
-School name
-How many licenses and which grade level for each licenseIf the customer has a purchase order…

See below for how to create invoice in Quickbooks:
If they are paying via credit/debit card:
1. Log into QuickBooks
2. Go to "+"
3. Click "Invoice"
4. Create a new customer (assuming they haven't bought with us before) - we would want the district name if a district (or school)
5. Include the person who is emailing us as their email address
6. Select the correct grade level and price for the product/service
7. Fill in which license they are purchasing in the description (ex. Primary Writing Success Kinder License)
8. Fill in quantity
9. For SCHOOLS (not individual teachers), remove the credit card option when creating an invoice. Uncheck the credit card box found in the top middle section of the invoice screen.
10. Save and send the invoice.
11. Ask customer to fill out the AirTable once the invoice is paid: https://airtable.com/shruv5zGGxLs5FUqN
12. Import each new teacher(s) into Kajabi by granting access to the corresponding grade level
13. Add the correct tags
14. Once the teacher is added, go back and click "send password" under the teacher's account.
If they are paying via purchase order:
1. Log into QuickBooks
2. Go to "+"
3. Click "Invoice"
4. Create a new customer (assuming they haven't bought with us before) - we would want the district name if a district (or school)
5. Include the person who is emailing us as their email address
6. Select the correct grade level and pricing for the product/service
7. Fill in which license they are purchasing in the description (ex. Primary Writing Success Kinder License)
8. Fill in quantity
9. Save and send the invoice.
10. Once the school emails a copy of their purchase order, attach the document to the invoice created in Quickbooks.
11. Ask customer to fill out the AirTable: https://airtable.com/shruv5zGGxLs5FUqN
12.Import each new teacher(s) into Kajabi by granting access to the corresponding grade level
13. Add the correct tags
14. Once the teacher is added, go back and click "send password" under the teacher's account.
15. Once Alison receives a check from the school/district, she will inform you via Asana after she makes the deposit.
